Terms of service

Straightforward terms for a business documentation service.

These terms explain the CSDocs trial, monthly subscription, permitted use, cancellation, and what happens to customer documentation when service ends.

01 · Agreement

Who agrees to these terms

These terms form an agreement between Cloud Steward, which provides CSDocs, and the organization that starts a trial, pays for, or uses the service. “You” and “customer” refer to that organization. “CSDocs,” “Cloud Steward,” “we,” and “us” refer to the service provider.

By starting a trial or using CSDocs, you confirm that you have authority to accept these terms for the customer. CSDocs is intended for business use by adults, not personal or consumer use.

If a signed order, statement of work, or other written agreement expressly conflicts with these terms, that signed agreement controls for the conflicting subject.

02 · Trial and billing

  • Payment details are required to begin the 30-day trial.
  • The trial starts when Stripe confirms the completed trial checkout.
  • Unless canceled before the trial ends, the subscription automatically renews at $995 per month.
  • After the first charge, billing continues monthly until canceled.
  • Applicable taxes shown at checkout are additional.
  • Stripe processes payments and may retry a failed payment according to the billing configuration shown to the customer.

You authorize Stripe and CSDocs to charge the payment method associated with the subscription when a payment is due. You are responsible for keeping billing and contact information current.

03 · Cancellation

Cancel by email

Email ben@thecloudsteward.com to cancel. CSDocs uses the time the request was received when determining whether it arrived before a renewal.

Cancel before the 30-day trial ends to avoid the first $995 charge. Unless CSDocs confirms an earlier end date, cancellation takes effect at the end of the current trial or paid monthly billing period. Access continues through that date.

Canceling stops future renewals; it does not automatically reverse a charge already due or processed. Any refund required by applicable law will be honored.

When access ends

Offboarding timing, access, export availability, active-copy treatment, and deletion are documented during onboarding or in a signed order. CSDocs does not promise a backup-removal timeframe until that behavior has been verified; the current status appears in the Privacy Notice.

04 · Service

What CSDocs provides

CSDocs provides a private documentation workspace intended to help authorized business users find and understand information about a customized NetSuite account. The precise onboarding scope, data sources, permissions, outputs, review process, and any customer-specific deliverables are those confirmed during onboarding or in a signed order.

The service assists with documentation and knowledge transfer. It is not a substitute for the customer’s accounting controls, change management, backups, legal review, information-security program, or independent verification of a NetSuite change.

CSDocs may use third-party services needed to provide checkout, hosting, communications, and other service functions. Current privacy and verification details appear in the Privacy Notice and Security Center.

05 · Customer responsibilities

Use the service lawfully and control access

You are responsible for the information you authorize CSDocs to process, the accuracy and legality of customer-supplied content, and the people you authorize to use the workspace. You must promptly remove or report access that is no longer appropriate.

You must not:

  • Provide information you do not have the right to use or disclose.
  • Use CSDocs to violate law, another person’s rights, or an agreement with a third party.
  • Probe, scan, bypass, or interfere with service security or access controls except through an expressly authorized security test.
  • Upload malware, attempt unauthorized access, or use the service to harm another system or person.
  • Resell, copy, reverse engineer, or create a competing service from protected CSDocs materials except where law expressly permits it.
  • Share credentials or access outside the customer’s authorized team.

You must maintain appropriate NetSuite controls and review generated documentation before relying on it for a material operational or financial decision.

06 · Ownership

Your content remains yours

The customer retains ownership of the information it supplies and its customer-specific documentation. The customer grants CSDocs a limited right to host, copy, process, transmit, and display that information only as needed to provide, secure, and support that customer’s service or comply with law.

Cloud Steward retains ownership of CSDocs, including its software, templates, methods, visual design, general know-how, and materials that do not contain customer-specific information. No ownership transfers except where a signed agreement expressly says otherwise.

If you provide voluntary feedback, CSDocs may use the feedback without identifying the customer or disclosing customer content.

07 · Confidentiality and privacy

Protect confidential information

Each party may receive nonpublic information that a reasonable person would understand is confidential. The receiving party will use it only for the relationship, protect it with reasonable care, and disclose it only to people and providers who need it and are subject to appropriate duties, or when law requires disclosure.

Confidential information does not include information that becomes public without breach, was already lawfully known without restriction, is received lawfully from another source, or is independently developed without using the other party’s confidential information.

The Privacy Notice explains personal-information handling. The Security Center identifies confirmed commitments and controls awaiting technical verification. No online service can promise absolute security.

08 · Availability and warranties

No unstated service-level guarantee

CSDocs will use reasonable care in providing the service. Unless a signed agreement says otherwise, no uptime guarantee, response-time commitment, certification, or service credit applies.

To the fullest extent permitted by law, the service is otherwise provided “as is” and “as available.” CSDocs disclaims implied warranties of merchantability, fitness for a particular purpose, noninfringement, and that documentation will be complete, error-free, or suitable as the sole basis for a business decision.

CSDocs is an independent service. Oracle and NetSuite do not sponsor or endorse it. NetSuite is a trademark of Oracle and its affiliates.

09 · Liability

A business-to-business limitation

To the fullest extent permitted by law, neither party will be liable under these terms for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, or business interruption, even if told such damage was possible.

To the fullest extent permitted by law, Cloud Steward’s total liability arising from CSDocs will not exceed the fees the customer paid for CSDocs during the 12 months immediately before the event giving rise to the claim.

These limitations do not apply where applicable law does not permit them. They also do not limit a customer’s payment obligations or either party’s responsibility for fraud, willful misconduct, unauthorized use of the other party’s intellectual property, or breach of confidentiality.

10 · Ending service

Suspension, termination, and deletion

CSDocs may suspend access reasonably necessary to prevent harm, respond to a security issue, comply with law, address nonpayment, or stop a material violation of these terms. When practical, CSDocs will give notice and an opportunity to fix the issue.

Either party may end service as allowed by these terms or a signed agreement. Sections that by their nature should continue—including payment obligations already due, ownership, confidentiality, warranty disclaimers, and liability limitations—survive the end of service.

Offboarding follows the access, export, active-copy, deletion, and backup commitments documented during onboarding or in a signed order. Because the standard production and backup procedures are still being audited, CSDocs will not promise a universal removal or recovery timeframe until it can verify one.

11 · Updates and contact

Questions about these terms

CSDocs may update these terms as the service changes. A revision will identify its effective date. If a material change affects an active paid subscription, CSDocs will provide reasonable notice before the change applies, unless an earlier change is required for law or security.

If part of these terms cannot be enforced, the rest remain in effect. A delay in enforcing a term is not a waiver. These terms and any signed order are the complete agreement about the subjects they cover.
